Operations Gate Appointments Appointments view

The Appointments view displays the appointments that exist at the current scope level. When users that belong to a specific business group log into N4, they can view only the appointments for the line operators and/or trucking companies associated with their business group. For more information on business groups, see Business Groups view.

If you configure your gate to use appointments, you can add new appointments, and edit or delete existing appointments from this view. For more information on configuring appointments, see Configuring a Gate.

Additionally, you can use the Actions menu to:

Canceling and closing appointments are essentially the same thing. However, the users for each action are intended to be different so that you can distinguish between terminal (close) and customer (cancel) actions, particularly when billing customers for canceled appointments.

You can use this action to extract the chargeable appointment events for the selected appointment. A chargeable event is an event type that is defined as Billable in the Event Types view.

You can use one appointment for exactly one gate transaction at a gate. If a truck driver plans to complete multiple gate transactions in one truck visit, such as dropping off an export container and picking up an import container, then the driver may require multiple appointments depending on your configuration. You can group multiple transaction appointments together by associating them with a truck visit appointment. See Truck Visit Appointments view for information on truck visit appointments.

The Appointments view also indicates if a canceled appointment has been reused or not in the Slot Reused field. If an appointment has been reused, the Slot Reused field contains a dot or is set to true. N4 automatically sets the Slot Reused field to true for an appointment in a Canceled state when a user creates a new appointment with the same time slot as the existing canceled appointment and one of the following is true:

When you set the ROADAPPOINTMENT002 setting to false and if you cancel a pickup import appointment, N4 sets the value in the Trucking Company field for the unit in the Unit Delivery Requirements form as it was before the appointment was created.

You must set the setting ROADAPPOINTMENT004 (RETAIN_UNIT_ON_CANCEL_APPOINTMENT) to True if you want to retain the units on cancelling the gate appointment.

The Appointments view displays the state of each appointment. In addition, the Appointment Inspector displays the event history in the Events, History tab. The following table lists the states and the recorded event(s) for each state:

Canceled

An appointment that a user has canceled. Canceled appointments are not available for processing at the gate.

APPT_CANCEL

In addition, if the Slot Reused field is false and the Auto Canceled not reused Appointment background job is running, N4 records the APPT_CANCELED_NOT_REUSED event for the canceled appointment.

 

Closed

An appointment that a user has closed or N4 closed when closing the associated truck visit per the Auto Close Truck Visit background job. Closed appointments are not available for processing at the gate.

APPT_CLOSE

Created

A new appointment that is available for processing at the specified gate.

The status of an appointment that is associated to a canceled gate transaction gets reverted back to 'Created'

APPT_CREATE

Expired

An appointment that was in a Created or Late state and the appointment late tolerance has passed. In this case, N4 automatically updates the state to Expired when the Auto Expire Appointment background job runs.

This state is similar to a Closed state.

 

APPT_EXPIRE

Late

An appointment that was in a Created state and the appointment end time has passed. In this case, N4 automatically updates the state to Late when the Auto Late Appointment background job runs.

APPT_LATE

UsedLate

An appointment that was in a Late state (after the end time but before the late tolerance has passed) and a user processed it at the specified gate.

APPT_USED_LATE and APPT_USED

 

Used

An appointment that a user has already processed at the specified gate.

If you include the RejectAppointmentAlreadyUsed (on page 1) business task in the appointment configuration, N4 displays an error message if a gate clerk specifies an appointment that is in the Used state.
